EHR Sign-In Access Requests
If your hospital uses EHR-launched sign-in (starting with Epic), your clinicians don’t need a manual invite to get access — they can launch the app directly from inside their EHR session. The first time someone does this, you review and approve the request from the User management page, so role assignment stays under your hospital’s control even though the identity comes from the EHR rather than an emailed invite.
Review and approve a request
The first time a clinician launches the app from your EHR, their request appears under EHR access requests on the User management page, showing their name and any role hints their EHR session provided.
- Under EHR access requests, find the clinician’s entry.
- Choose a role from the dropdown next to their name: Feedback manager, Clinical reviewer, or Dietary and nutrition staff. Where your hospital has role mapping configured, the dropdown is pre-filled with a suggested role for you to confirm or change. Hospital-admin access can’t be granted this way — if the clinician needs admin access, grant it separately from the Staff table once their account exists (see Staff Roles & Two-Person Admin Control).
- Select Approve to create their staff account with the chosen role, or Reject to turn down the request.
Once approved, the clinician can sign in from the EHR again and land on the page for their role (see Role-Based Landing Page After Sign-In). Rejecting a request closes it without creating an account.
